Branch or Operations Manager Job Objective:
The Billing Specialist is accountable for creating invoices and credit memos, issuing them to customers by all necessary means, and updating customer files.
Essential Duties and
Responsibilities:
In addition to the essential job functions described below, all associates will perform duties requested by management.
Assigned responsibilities and duties may vary based upon location size and operation.
Process sales orders (lubes) and invoices (fuel) on a daily basis Issue invoices to customers Issue monthly customer statements Update customer files with issued invoices Process credit memos Update the customer master file with contact information Enter invoices into customer invoicing web sites Submit invoices by electronic data interchange Review open sales order reports Handle and balance daily cash transactions for cash box Enter new RelaDyne fuel cards in Phoenix and DM2/Sage Scan fuel bills of lading into paperless DM2 system Customer Service - answer phones and handle customer walk-ins Additional
Responsibilities:
Follow SOP's (Standard Operating Procedures) for Fuel Billing Enter all mandatory information to generate bills into the billing system Review all bill/invoice info and match to sales info before finalizing and mailing to customers Review immediate past billing cycle to reconcile cash or payment receipts Encode and add amounts of transaction documents, such as checks or money orders Provide sales order support and ensure data input is correct when entering orders Provide Fuel Operations support by assisting with fuel pricing communication and dispatch of orders Provide customer service support for lube and fuel sales queries Receive fuel bills of lading (TP) Scan checks and prepare deposit log for posting by Shared Services Coordinate credit card payments Fuel Pricing entry Purchase order entry Competencies:

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
